Prepare and send emails for your events
The email area lets you prepare reminders for ticket holders and messages for people who subscribed to your organizer. Start with a template, adapt each language, check the recipients and activate a schedule. Saving a draft does not send it.
Open your organizer's email area
Open Event emails from the organizer dashboard and check the selected organizer. Owners and admins can manage messages. You can prepare drafts while sending is unavailable; the notice at the top shows whether sending has been enabled. Confirm your account with MFA before changing sender details or activating a message.
What to do
- Choose the organizer that owns the event.
- Check the sender displayed in Sender settings.
- Verify your account before activating sending.
Choose a template and the right recipients
Event reminder starts 24 hours before the event, Entry information three hours before, and Thanks and feedback 24 hours after the end. Each starts as an inactive draft. Service reminders reach current ticket holders. Follow-ups and invitations require a separate email subscription to this organizer, including when the recipient bought a ticket or follows the profile.
What to do
- Choose the event and a prepared template.
- Select subscribers, subscribed buyers or checked-in subscribers for marketing messages.
- For an invitation, explicitly choose the published event you want to recommend.
Edit the content in all four languages
Use the English, Greek, German and Russian tabs to adjust the subject, preview text and content blocks. Marketing messages support headings, paragraphs, lists, event images, buttons, event cards and dividers. Service reminders are limited to practical information about entry, travel, what to bring and contact. Their event card stays in the message. Insert placeholders through the selection field after focusing a text field.
What to do
- Write the event information in each language.
- Move blocks with the arrow buttons or drag them into place.
- Review and approve all four language versions after editing.
Check the preview and save your template
Save the draft to generate the same HTML used for delivery. Switch between desktop and mobile previews and check the event details and links. A preview email can go only to the verified address on your own account when sending is available. Save a finished message as your template to reuse its content; later template changes do not rewrite active messages.
What to do
- Save the draft, then inspect both preview sizes.
- Send a preview to your verified address if available.
- Save reusable content as your own template.
Review the date and activate sending
Marketing messages can start at activation, on a fixed date or relative to the event. Reminder timings use the event's local time zone, shown beside the fields. Open Review sending to see the actual date, sender and eligible recipient count. Consent and ticket validity are checked again before delivery. If the count is zero, nothing is sent. A disabled sending notice means activation is not yet available.
What to do
- Check the displayed time zone and actual send date.
- Review recipient counts and language approvals.
- Activate sending only after the final review.
Check results and respect preferences
Open Delivery report to check sent, delivered, failed and unclear deliveries. An unclear result is not automatically resent because the provider may already have accepted it. Pause an active message before editing. Event cancellations stop pending event messages. People can unsubscribe from organizer marketing or turn off ticket reminders independently. Ticket, payment and security messages keep their own delivery rules.
What to do
- Review delivery results after the scheduled time.
- Pause messages before making changes.
- Use subscriber preferences instead of importing contact lists.

Questions about event emails
Why are followers or ticket buyers missing from my marketing audience?
Following a profile or buying a ticket does not subscribe someone to organizer emails. Only an explicit subscription enables follow-ups and invitations. Current ticket holders can receive the separate practical service reminders.
Why can't I activate my message?
Check the sending notice, account verification, all four language approvals and the recipient count. Save your latest edits first. If sending has not been enabled for the platform, you can still prepare drafts.
Can I change a message that is already active?
Pause it first, edit the draft and review the language versions again. Sent versions remain in delivery history. Activating the same reminder again does not send another copy to recipients who already received it.
